Desired outcome
We are currently experiencing challenges with our stock management system, leading to inaccuracies in reflecting stock levels. Additionally, disparities have been observed between the stock displayed on our websites and the actual product availability. Consequently, customers may encounter instances where a specific size is purported as in stock, whereas it may not be available in reality. As a result, we are compelled to initiate orders, causing an approximate one-week delay in the delivery of customers' items. This has prompted customers to reach out to us for inquiries regarding specific item availability, necessitating manual verification of our inventory status.
Initial Problem Description
We are in need of assistance to rectify issues within our stock system, particularly in identifying potential errors during the addition of items to our stock control. Our suspicion is that discrepancies may arise during the issuance of delivery notes or takeover processes, resulting in instances of duplicated articles within our system. Additionally, we have noted a significant number of items lacking EAN codes or custom codes, which could be contributing to the inefficiencies in our stock management process.
Context
When a customer views an article on our website, it may erroneously appear as in stock despite not being physically available. This occurrence may be attributed to takeovers and the inadvertent duplication of articles, resulting in the misallocation of inventory. Consequently, it is imperative to implement effective measures to verify and regulate articles in order to mitigate the occurrence of duplicates. Moreover, upon adding an article to a delivery note, it reflects a zero stock balance, thus indicating the sale of items with a negative inventory count.
Connection to cross-cutting areas
By ensuring that our customers see accurate stock levels on our websites, we align with Circularity principles, minimizing waste and overproduction. Accurate stock visibility means customers can trust that what they see is available, reducing the likelihood of over-ordering or returns, which can lead to unnecessary resource use.
Regarding sustainability, our stock management will be geared toward long-term resource efficiency. Maintaining correct inventory levels ensures that products are used to their fullest potential, reducing waste and contributing to a more sustainable product lifecycle. The system's accuracy will prevent the sale of products beyond our available stock, ensuring that all transactions are sustainable and no negative inventory occurs. This complete approach supports sustainable consumption and strengthens our commitment to a circular economy, where resources are continually reused and repurposed.
Input
Students can anticipate several key scenarios in our approach:
Accurate Stock Management: We will ensure that stock levels are precisely managed, eliminating any issues related to selling items that aren't available. No more selling in the negative—what you see is what we have.
Correct Documentation: Expect a streamlined process where the correct articles are consistently entered, leading to accurate delivery notes, invoices, and credit notes. This ensures that all documentation is reliable and free from errors.
Organized Inventory: Our system will prioritize sorting articles effectively, avoiding duplication. This means every item in our inventory will be unique and correctly cataloged.
Attention to Detail: We will meticulously upload articles to our system, ensuring that all product details are accurate and up-to-date. This precision will lead to a smoother experience for everyone involved.
Expectations
We request your assistance in addressing our stock-related challenges, which frequently manifest as either insufficient stock availability or negative stock levels. Resolving these issues is of utmost importance to us. Doing so will not only ensure the accurate representation of our stock levels on our website but also enable customers to seamlessly add items to their shopping baskets. Presently, inaccurately labeled out-of-stock items hinder customers from adding them to their baskets, necessitating manual order processing.
Desired Team Profile
We are seeking teams interested in assisting us in problem-solving. We are specifically interested in individuals with expertise in economics, computer science, data science, and analytics. We anticipate that these team members will offer valuable insights into problem identification, article management, and website editing.
Additional Information
We value collaborating with diverse teams from various fields of expertise and backgrounds. Each team will receive support and assistance from our members, who they can turn to for additional information or help with any interim questions. We believe in teamwork and that integrating different knowledge and perspectives will lead to the most effective solutions for our problems.
