We are currently experiencing challenges with our stock management system, leading to inaccuracies in reflecting stock levels. Additionally, disparities have been observed between the stock displayed on our websites and the actual product availability. Consequently, customers may encounter instances where a specific size is purported as in stock, whereas it may not be available in reality. As a result, we are compelled to initiate orders, causing an approximate one-week delay in the delivery of customers' items. This has prompted customers to reach out to us for inquiries regarding specific item availability, necessitating manual verification of our inventory status.

Initial Problem Description

We are in need of assistance to rectify issues within our stock system, particularly in identifying potential errors during the addition of items to our stock control. Our suspicion is that discrepancies may arise during the issuance of delivery notes or takeover processes, resulting in instances of duplicated articles within our system. Additionally, we have noted a significant number of items lacking EAN codes or custom codes, which could be contributing to the inefficiencies in our stock management process.

Context

When a customer views an article on our website, it may erroneously appear as in stock despite not being physically available. This occurrence may be attributed to takeovers and the inadvertent duplication of articles, resulting in the misallocation of inventory. Consequently, it is imperative to implement effective measures to verify and regulate articles in order to mitigate the occurrence of duplicates. Moreover, upon adding an article to a delivery note, it reflects a zero stock balance, thus indicating the sale of items with a negative inventory count.

By ensuring that our customers see accurate stock levels on our websites, we align with Circularity principles, minimizing waste and overproduction. Accurate stock visibility means customers can trust that what they see is available, reducing the likelihood of over-ordering or returns, which can lead to unnecessary resource use.
