This innovative envelope features unique QR codes linked to a database, allowing it to serve as more than just a simple packaging tool. Instead, it can integrate digital data with physical items, enhancing its functionality. The objective is to explore creative and innovative uses of SmartEnvelope across various industries and services, such as improving shipment security, enabling interactive marketing campaigns, or providing personalized content to recipients. Students are expected to propose novel applications that demonstrate both creativity and practical benefits in different sectors.
Initial Problem Description
The challenge we want to present to students is to identify and develop potential applications for the new Smart Envelope product - smart envelopes with individual QR codes linked to a database. Our goal is to create a space for experimentation and innovation that can be applied to various industries and services, regardless of their specifics.
The problem we want to solve relates to the limitations of traditional envelopes as information carriers and their one-dimensional function. Traditional envelopes are usually only used to carry physical objects or documents from point A to point B, which is insufficient in today's era of digitization. They do not meet today's needs for integrating digital data with physical media that can offer additional value to the end user. SmartEnvelope, our smart envelope with QR code, has the potential to become more than just a package.
The challenge for students is to come up with new ways to use this technology, which could include enhancing shipment security, interactive marketing campaigns, supply chain tracking, or delivering personalized content to recipients, among others. We expect students to be creative and propose innovative applications of this technology in various industry and service sectors, as well as outline the possible benefits that could result from its implementation.
Context
In an era of digitization and globalization, traditional methods of sending physical documents and packages are becoming increasingly inefficient and inadequate in the face of growing market demands. The challenges of integrating physical and digital media, as well as the need to deliver a more personalized and interactive user experience, are driving the search for innovative solutions. SmartEnvelope, a smart envelope with an embedded QR code, addresses these challenges, offering new opportunities for both industry and consumers.
Traditional envelopes, which have served as the primary tool for sending documents for centuries, are now limited to a one-dimensional function - moving physical items from one place to another. They are unable to meet the more advanced requirements of today's market, where what matters is not only the security of the shipment, but also the ability to interact, track, access additional information or personalize shipments. In a world where digitization covers more and more aspects of life, the need for innovation in the area of traditional products is inevitable.
PLAST-FARB is the author of the solution and concept of SmartEnvelope, i.e. an envelope or bag, which combines the physical properties of an envelope with digital capabilities, using QR code technologies. As a result, the envelope becomes a carrier of both physical and digital information, opening up new possibilities for interaction with end users. QR codes placed on the envelope can be scanned with a smartphone, allowing access to a variety of online content, such as instructions, interactive marketing campaigns, return forms or real-time shipment tracking. An extremely important element of the product is the ability to individualize each QR code, so that the recipient who receives the envelope can receive their own personalized message or attachment. Examples of already diagnosed application possibilities:
- Logistics and tracking: each envelope could be tracked individually, which increases the security of shipments, allows for precise monitoring and provides the recipient with a complete history of the shipment's route.
- Marketing and advertising: Envelopes could become an interactive marketing tool, where after scanning a QR code, the recipient gains access to personalized offers, discounts, or even games and apps.
- Security and confidentiality: The use of technology can provide an additional layer of security, where the contents of the envelope could only be accessed after authorization, such as entering a password on a website or app.
- Customer service: Through QR codes, recipients would be able to quickly and easily report problems, fill out return forms or file complaints, making customer service more efficient.
Implementing SmartEnvelope, however, comes with a number of challenges. These include logistical issues related to the production and integration of new technology, management of data that must be securely stored and accessible only to authorized individuals, and education of customers so that they understand and appreciate the added value of this product. SmartEnvelope represents a novel approach to traditional mail products. Its potential extends beyond the current role of envelopes, offering numerous application opportunities in various sectors. By involving students and young innovators from across Europe, the project aims not only to develop new creative applications for the technology, but also to contribute to large-scale industry and service development, providing valuable solutions that can change the way people and companies communicate and collaborate in a digital world.
Connection to cross-cutting areas
Digitization. SmartEnvelope combines traditional envelope functions with modern digital technologies such as QR codes. As a result, the envelope ceases to be just a physical package and becomes an interactive information carrier that allows easy access to digital content such as instructions, forms, tracking or personalized marketing messages. In this way, our challenge is part of the digitization trend, offering new opportunities for interaction between users and companies.
Sustainability: The SmartEnvelope project also supports sustainability. By integrating digital technologies into envelopes, we can significantly reduce the amount of paper used and other materials that would normally be consumed for flyers, instructions or forms. Additionally, as part of our project, we are considering using environmentally friendly materials and creating reusable envelopes to minimize their environmental impact.
Industry 4.0 SmartEnvelope is also an example of the application of advanced technological solutions in production and logistics, which is one of the key elements of Industry 4.0. Through the use of IoT (Internet of Things) technology, we can monitor and optimize production processes, resulting in efficiency, energy savings and waste reduction. In addition, the personalization of envelopes with digitally generated QR codes and their integration with databases is an example of how modern technologies can be applied to traditional products, bringing them into a new industrial era.

We have several scenarios and known trends that we can present to students in the context of the SmartEnvelope project:
1. shipment tracking and logistics: a well-known trend in logistics is the growing demand for accurate, real-time tracking of shipments. SmartEnvelope could be used to track individual shipments, providing greater security and transparency in the supply chain. QR codes on envelopes could be scanned at various stages of delivery, allowing the shipment to be tracked from sender to recipient.
2. interactive marketing campaigns: personalized campaigns that engage users in an interactive way are becoming increasingly popular in marketing. SmartEnvelope can be used to create interactive marketing campaigns, where after scanning a QR code on an envelope, the recipient gains access to personalized offers, discount coupons or multimedia content such as promotional videos or games.
3. securing shipments and protecting data: in an era of increasing data theft and unauthorized access, there is a trend to strengthen security in the transportation of documents and valuable items. The SmartEnvelope can be equipped with QR codes that require authorization to access the contents of the envelope, enhancing the security of shipments. The increasing risk of data theft and cyber attacks is causing companies to look for more advanced methods of securing information. SmartEnvelope with QR codes can offer a higher level of security for shipments containing sensitive information.
4. digital documents and ecology: the trend of environmental protection and paper reduction is becoming increasingly important. SmartEnvelope can help reduce the number of printed documents with digital forms accessible via QR codes, which can significantly reduce the carbon footprint associated with paper production and transportation.
5 E-commerce applications: there is a growing need in e-commerce to automate returns and complaints processes. SmartEnvelope could enable easy access to returns forms by scanning a QR code, simplifying the process for customers and businesses while increasing the efficiency of after-sales service. The growth of e-commerce is contributing to the demand for efficient and secure methods of shipping products. This trend includes the development of solutions that streamline returns processes, after-sales service and shipment tracking. SmartEnvelope can provide innovative solutions to support these processes.
6 Second life cycle of envelopes: as part of the closed-loop economy trend, the SmartEnvelope could be designed as a reusable envelope, or one that could be transformed into other items, such as shopping bags or storage containers, after fulfilling its original function. The QR codes could be reprogrammed via a database according to the wishes of the envelope's recipient. The global emphasis on sustainability and waste reduction is leading to a growing interest in products that have minimal environmental impact. This trend includes the development of biodegradable materials, recycling and the creation of products with a longer life cycle. SmartEnvelope can fit into this trend by offering reusable envelopes or those made from environmentally friendly materials.
7 Integration with Industry 4.0 systems: the trend associated with Industry 4.0 includes the integration of digital tools into manufacturing and logistics processes. SmartEnvelope can be part of a larger IoT ecosystem where envelope data is automatically processed and analyzed to optimize processes and better manage resources. More and more products and services are becoming part of the Internet of Things (IoT), where physical objects are connected to the Internet and can communicate with each other and with users. In the context of SmartEnvelope, this trend could mean the ability to track shipments, monitor shipping conditions, or integrate envelopes with digital document management systems. As part of Industry 4.0, more and more companies are implementing automation and optimization of manufacturing and logistics processes. This trend leads to increased efficiency, cost reduction and better resource management. SmartEnvelope can be part of such an automated ecosystem, where data from shipments is automatically analyzed and used to optimize processes.
8 Personalization and personalized experiences: growing customer expectations for personalized products and services are driving the trend toward personalization. SmartEnvelope can be used to deliver personalized marketing content, offers or messages that are tailored to the individual needs and preferences of the recipient.
9 Integration of physical and digital experiences. There is growing interest in integrating physical products with digital experiences to create more engaging and interactive solutions. SmartEnvelope can serve as a platform for combining physical shipments with digital content, such as videos, instructions, or AR (augmented reality) applications.
Expectations
Direction of Solution Evolution. We expect the SmartEnvelope solution to evolve into an even deeper integration of physical and digital aspects of communications and logistics. As technologies such as IoT, digitization and personalization evolve, SmartEnvelope is poised to become not only a carrier of physical shipments, but also a key component of digital ecosystems, supporting interactivity, tracking and security on a whole new level.
We predict that: - Personalization and interactivity will become increasingly advanced, allowing recipients to access personalized content, offers and interactive experiences with a simple scan of a QR code. - Sustainability will be implemented even more strongly, through the development of reusable envelopes, the use of biodegradable materials and the creation of products with extended life cycles. - Applications in Industry 4.0 will grow, through the integration of SmartEnvelope with data management systems, production process automation and resource optimization.
In addition to delivering the solution itself, we expect from the team: - We want the team to demonstrate ingenuity in the application of SmartEnvelope, discovering new, non-obvious usage scenarios that can surprise and bring real value across industries and services. - We expect the team to conduct a thorough analysis of the market to better understand the needs of potential users and the trends that may influence the development of SmartEnvelope. It is important that the proposed solutions are not only innovative, but also realistic and adapted to market realities. - We expect the team to take a responsible approach to sustainability, proposing solutions that minimize environmental impact, promote a closed-loop economy and support green practices. - Designing solutions often requires flexibility and a willingness to adapt as new information emerges or conditions change. We expect the team to be open to feedback and ready to iteratively improve their solution.
Desired Team Profile
It is welcome that the team solving the SmartEnvelope challenge has a set of skills and academic knowledge that will be critical to the success of the project. The following specific skills and academic background would be desirable and welcome:
1. Digital marketing and communications. Digital marketing and communications skills are critical to effectively market SmartEnvelope. The team should include individuals with a marketing background in ICT products and in running digital media marketing campaigns.
2 User experience (UX) and user interface (UI). To make SmartEnvelope intuitive and user-friendly, it may be helpful to have UX/UI specialists on the team. These individuals should have experience in user interface design and user experience optimization to ensure that using the technology built into the envelopes is simple and effective.
3 Software Engineering and IoT. Familiarity with Internet of Things (IoT) technologies and the ability to program and develop applications are key to integrating SmartEnvelope with digital systems. The team should be made up of individuals with training in computer science, software, electronics or related fields who will be able to develop and implement digital solutions such as QR codes and databases.
Additional Information
1 The competitive situation in the sector The packaging sector, especially security and courier packaging, is highly competitive. PLAST-FARB is one of the leaders in the Polish market and is well established internationally (more than 40 countries to which it ships its products). Nevertheless, there are several key players in the market who are also investing in innovation and sustainability. Most of the competitors are using traditional solutions such as barcodes to track shipments, but none of them have yet incorporated advanced IoT technologies such as QR codes into their products the way we plan to do with SmartEnvelope.
2 Technology and market trends There is a strong trend in the packaging and logistics market toward digitization and integration with IoT systems. Companies are seeking to optimize their processes through automation and the use of data, which is in line with the Industry 4.0 concept. In addition, there is a growing demand for eco-friendly products made from biodegradable or recycled materials, in response to increasing consumer awareness of environmental issues and environmental regulations.
3 Regulatory and industry standards Teams should be aware that products such as SmartEnvelope must comply with a number of legal regulations regarding safety, data protection, as well as environmental standards. For example, Europe has strict data protection regulations (RODO) that may affect how SmartEnvelope collects and processes user data.
